Booking Concierge

Patients describe their concern. Booking Concierge opens the right consultation.

It selects from your clinic’s approved consultations, then opens your existing booking calendar at that service.

The patient types
“I grind my teeth at night.”

Patient input

Patients type what they want help with.

They can use their own words, choose one or more concerns, or skip straight to the calendar. Your public booking menu keeps its careful, concern-led names.

The whole journey, recorded in the Avélore Aesthetics demo clinic. Fifteen seconds, no sound, on a loop.

  1. The patient types “the wrinkles around my eyes” in their own words.
  2. Booking Concierge opens New Patient Consultation: Lines and Wrinkles.
  3. They pick a day and time, and the booking goes to the clinic’s own system.

Try it the way a patient would.

This is the working tool, running here on the page. It uses the same routing and the same stand-in calendar as the clinic would, for Avélore Aesthetics, our fictional demo clinic. Nothing is booked.

Avélore Aesthetics is a demo clinic.

Avélore Aesthetics is a fictional demo clinic. The last step is a stand-in calendar; on a live site it is the clinic’s own booking platform. No booking is made here.

How it works

The concierge chooses the appointment. The booking stays in your system.

Patient wording is used to choose an appointment and for nothing else.

  1. 01

    Ask in plain language

The patient says whether they are new or returning, then types what they want help with or selects one or more concerns. They can also skip straight to the calendar.

  2. 02

    Booking Concierge picks the consultation

The wording is matched on Stoneglow Digital’s server. It is not shown back or stored, and every visible consultation name and description is approved before launch. When the words fit more than one consultation, each option is shown with its description and the patient chooses.

  3. 03

    Open the selected service

The selected consultation opens in the clinic’s existing booking system, where deposits, confirmations and reminders continue as usual.

Designed around Australian advertising rules

Booking menus can count as advertising.

Public booking systems that draw patients to a service on the basis that specific therapeutic goods are used may be advertising those goods. Booking Concierge shows only consultation names and descriptions approved by the clinic before launch.

The TGA last updated this guidance on 21 July 2026. If your booking menu has been reworded to stay within it, patients may no longer recognise which consultation to book.

Your clinic approves every word patients see and stays responsible for its own advertising.

“Patients used to ring us to ask which appointment to book, or book one that didn’t quite fit and we’d sort it out on the day. Most of them knew exactly what they wanted. They just couldn’t find it on our menu, because we can’t list it the way they say it. Now they type it the way they’d say it to me, and they arrive booked into the right consultation.”

Booking Concierge questions

What clinics ask about Booking Concierge

See every question
Do we need to change booking systems?

No. Booking Concierge opens the selected service in your existing booking platform. It’s live with Timely, and we check how your current platform handles service links before setup.

What if a patient’s words fit more than one consultation?

Each matching consultation is shown with its own description, and the patient chooses the one that suits them. Patients can also skip straight to the booking calendar.

What happens to the words a patient types?

They are sent to Stoneglow Digital’s server for matching and used to choose an appointment and for nothing else. They are not shown back to the patient or stored.

How does Booking Concierge fit the advertising rules?

It shows only consultation names and descriptions your clinic approves before launch, so your public menu can stay concern-led. Your clinic approves every word patients see and stays responsible for its own advertising.

What happens when our consultation menu changes?

We update the matching for you. It’s part of the $29 + GST per month plan.

How long does setup take?

Prescription Suite takes two to three weeks from the time you go ahead. Booking Concierge takes one to two weeks, or can launch the same day for an additional $250 + GST.
